Managing tools
Lending out tools as a tool manager
As a tool manager or warehouse employee, you can easily register tools, PPE and other items in Centix to mechanics, projects, warehouses or vehicles. This ensures your organisation always has insight into who has which tools in their possession. For projects, you can create project locations, and for the central warehouse, you can manage warehouse locations.
With the user-friendly Centix OnSite app, you can easily move tools between locations. Want to make the process even easier? Use QR code labels, so users can instantly access manuals and certificates and work more efficiently.
Tool on-lending
A common challenge in tool management is that tools unintentionally go missing or out of sight when they are passed between mechanics. With Centix OnSite, the mechanic who has the tool in their possession can easily transfer it to a colleague using the move basket. The receiving colleague confirms the transfer with a digital signature, ensuring the tool is immediately registered under the correct person.
Do you prefer not to use this functionality or limit it? You can easily configure roles and permissions within Centix, allowing you to decide who is authorised to transfer tools.
Tool inventory
With the inventory function in Centix, you can easily verify whether the tools on-site match what should be present according to your records. For example, during an annual check of service vans or an asset inventory on site, where you want to quickly confirm that everything is in order.
For each location, you create an up-to-date inventory list based on the registered assets. An internet connection is required to retrieve this list, ensuring you always work with current data.
You then verify the list by scanning items or confirming them manually. The inventory process itself can be performed fully offline, allowing you to continue working on-site without an internet connection. Any discrepancies, such as missing or additional items, are immediately visible and can be easily processed afterwards.
This replaces error-prone Excel or paper-based lists and allows you to work with one reliable and up-to-date overview.

Inspection of tools
Visual inspection
Centix offers a wide range of standard checklists for visual inspections, allowing you to carry out almost all inspections in a simple and structured way.
With Centix OnSite, you can perform these inspections directly on-site. Scan or search for the tool, select the right inspection plan and go through the checklist. You can quickly complete the questions and easily select deviations from a standard list, minimising manual input. In addition, you can add notes and photos and visually mark deviations.
After completing the inspection, the status and validity date are automatically updated and an inspection certificate is generated immediately.
PAT testing
Electrical tools are subject to mandatory inspection requirements. For many organisations, this is a time-consuming and error-prone process. With Centix, this is significantly simplified.
Centix enables you to read measurement data directly from PAT testers. Once the measurement file has been imported, the status and validity date are automatically updated. For each tool, a certificate is automatically generated, clearly displaying all measurement values.
Inspection of cordless power tools
Do you think cordless power tools do not need to be inspected? This is a common misconception. Regulations state that all work equipment that can deteriorate and pose risks must be inspected periodically. This therefore also applies to cordless power tools.
Centix supports this process with standard checklists for various types of cordless power tools, such as grinders and mitre saws. This allows you to carry out these inspections in a simple and structured way.
Certificates
One of the main advantages of performing inspections in Centix is the speed at which certificates are generated. After completing an inspection, a certificate is created automatically, without any additional manual work. All certificates are then centrally stored with the correct asset in Centix, ensuring you always have a complete and up-to-date record.
You can also easily add certificates from external parties, allowing all inspection documentation to be managed in one place. This prevents fragmentation and helps you maintain full control.
Using QR code labels on tools, you can instantly access certificates. By scanning the QR code, you gain one-click access to the correct document, including its history. This is ideal during audits, inspections or on-site activities.
On the left is an example of a certificate generated through a standard Centix inspection of a ladder.
“We have to deal with laws and regulations. That means mechanics are not allowed to walk around with unapproved work equipment. Using Centix, we can keep an eye on that.”
“Centix Online has brought considerable speed improvements to tool inspections. This is due to our ability to instantly determine the status of each item: what has been inspected and what hasn’t. If any issues are found, we can effortlessly capture a photo and incorporate it into the system.”
