Work orders
Work orders form the link between registration, planning and execution. From one central environment, you can manage all information relating to maintenance, inspections, repairs and service work.
A work order is created from one or more work items and forms the basis for carrying out work. All relevant information, including tasks to be completed, documents, communication, photos, attachments and instructions, is stored centrally. This ensures planners, engineers, inspectors and the back office always have access to the same up-to-date information.
Work orders can then be scheduled using the planning board or the kanban board and are immediately available in Centix Smart Work for work on site or in the workshop. This creates a seamless connection between registration, planning and execution.
Convert work items into work orders
Service requests, fault reports, inspections and maintenance activities are registered in Centix as work items. From these work items, you can easily create work orders ready for execution.
Depending on your way of working, a work order can be created from a single work item or by combining multiple work items into one work order. This is ideal when several activities need to be carried out for the same customer during a single visit. The engineer or inspector receives one clear work order, while the underlying work items remain individually recorded and tracked.
By combining multiple work items, planning, execution and administration remain clear and organised. It also means the customer only needs to approve the completed work once.


Scheduling work orders
Once a work order is ready for execution, it can be scheduled. Depending on the way your organisation works, Centix supports two scheduling methods. You can choose time-based planning using the planning board or sequence-based planning using the kanban board.
Planning with the planning board
The planning board is ideal for organisations that schedule work for a specific date and time. Work orders can easily be assigned to employees using drag and drop.
If a cost estimate is available, the required time is calculated automatically based on the estimated hours, travel time and working hours. This provides a realistic schedule that reflects the expected execution of the work.
As soon as a work order is scheduled, it becomes immediately available in Centix SmartWork. Engineers and inspectors always have access to their current schedule and all the information they need to carry out their work.
If the schedule changes, work orders can easily be reassigned to another employee or rescheduled for a different time. All changes are automatically synchronised with both the planning board and Centix Smart Work, ensuring field workers always work with the latest schedule.
Working with the kanban board
For organisations that use flexible planning, Centix also supports the kanban board. Instead of assigning work orders to a specific time, they are assigned to an employee or team in the required execution order. Engineers and inspectors can immediately see which activities need to be completed next in Centix Smart Work, making it easy to respond to changing priorities. Work orders can also be moved easily between different stages or employees, providing continuous visibility of progress.
Execute work with Centix Smart Work
As soon as a work order has been scheduled, it is immediately available in Centix SmartWork. Engineers and inspectors always have access to their current schedule and all the information they need to carry out their work.
During execution, they can complete the work order step by step. Work carried out is recorded, photos and documents can be added, and comments are saved immediately. Hours worked, travel time and materials used can also be recorded with ease, while the customer can sign digitally to approve the completed work. If stock items are used, they can be recorded directly against the work order and processed automatically in inventory management.
All recorded information is automatically synchronised with Centix Online. This gives planners and the back office real-time insight into the progress of work and creates a complete digital record of the activities carried out. The recorded hours worked, materials and completed work also provide the basis for further processing, ensuring execution, administration and follow-up processes fit together seamlessly.
