Work items
The work items module helps organisations register, track and manage work. Whether it’s service requests, fault reports, maintenance, inspections or recurring tasks, Work Items give you complete visibility of what needs to be done, the current status and any outstanding actions.
Work items can be created manually or generated automatically from service forms, maintenance plans or inspection plans. All relevant information, including communication, documents, statuses and history, remains centrally linked to the work item.
The module can be used independently as a work management and tracking solution. If work also needs to be planned and carried out digitally, Centix can easily be extended with work orders, the planning board and Centix Smart Work.

Managing service, maintenance and inspection work
Work items support the registration and tracking of service, maintenance and inspection activities. Work can be created manually or generated automatically from maintenance and inspection plans.
Whether you’re managing corrective maintenance, preventive maintenance or periodic inspections, Work Items provide the central place to manage all activities. This gives everyone involved full visibility of progress, current status and the complete history.
The status of a work item allows you to monitor progress with ease. Typical statuses include New, Planned, In Progress, Waiting for Parts and Completed. Priorities help determine which activities require immediate attention.
Automatic follow-up actions, such as sending emails or notifications, can be triggered by status changes. All communication, documents and history remain centrally linked to the work item, providing a complete record at all times.
Depending on the type of work and the size of your assets, there are different ways to work with Work Items.
One work item for multiple assets
When inspecting smaller work equipment, such as ladders, step ladders, mobile scaffolding or fall protection equipment, dozens of assets are often inspected during a single site visit. In practice, this is a dynamic process: some assets may be missing, new assets may be discovered and previously missing assets may be found again.
To keep these activities organised, many organisations use a single recurring work item for each site visit. Based on a predefined schedule, Centix automatically creates a new work item whenever the next inspection is due, ensuring periodic inspections are planned and completed on time.
During the inspection, assets can be inspected, added or updated. If follow-up work, such as repairs, is required, separate work items can be created. This keeps administration organised while preserving the complete maintenance history.
One work item per asset
For larger items of work equipment, machines and installations, a separate work item is often created for each asset. Examples include vehicle lifts, roller shutters, air handling units, generators and other business-critical assets.
The work item becomes the maintenance, inspection or service task for that specific asset. All work carried out, communication, documents and status information are recorded centrally, creating a complete asset record with an overview of outstanding, planned and completed work throughout the asset’s entire lifecycle.
Automate recurring work
Recurring work items can be configured for periodic inspections, scheduled maintenance and other recurring activities.
Based on a predefined schedule, Centix automatically creates new work items when the next activity is approaching. This eliminates the need to create work manually and helps ensure that maintenance and inspections are never overlooked.
Automatic actions can also be linked to work items. For example, Centix can automatically send an email to the customer several weeks before a scheduled inspection to arrange an appointment in time.
Reminders, notifications and other status-driven communication can also be automated using predefined rules.
From request to execution
For many organisations, registering and tracking work is all that’s required. With Work Items, you can manage requests, maintenance and inspections, monitor progress using statuses and maintain a complete record of every activity. If you also need to record hours worked, the Work Items module can easily be extended with the time recording module.
If work needs to be planned and carried out digitally, the Work Items module can be expanded with work orders, the planning board and Centix Smart Work.
Depending on your workflow, work items can be scheduled directly using the kanban board (sequence-based planning) or the planning board (time-based planning). Work items can also be converted into work orders, allowing multiple work items to be combined into a single work order, for example, when several activities are completed during one site visit.
Scheduled work is immediately available in Centix Smart Work. Engineers and inspectors always have access to their current schedule or task list, together with all the information required to complete their work efficiently.
This means Centix not only supports the registration and tracking of work but, if required, also the complete process from planning and execution through to completion.
